events assistant

General Description

We are looking for an experienced Events Assistant to organise excellent Live and Club events. You will be responsible for every aspect of an event, from choosing venues to evaluating success afterwards. An event coordinator must be well-organised and competent in vendor management. Communication skills and attention to detail will set apart the best among the candidates. Add a shot of enthusiasm and passion for the job and you’ll be our ideal candidate. The goal is to organise unforgettable events that will ensure the entertainment of attendee and facilitate the completion of business objectives.

Responsibilities

General

·       Keep up-to-date with UK Urban music
·       Provide strategic planning for events with attention to financial and time constraints
·       Understand requirements and audience for each event
·       Contact venues, artists and sponsorships for events
·       Choose the best combination of quality and cost for each event
·       Source artists, DJ’s, venues and collaboration opportunities for future bookings
·       Manage all event operations (preparing venue, invitations etc.) and online promotion through social media
·       Setup ticketing links; event page including copy; and Facebook advertising
·       Do final checks at the day of the event (e.g. Guestlists, signage, technical equipment, set times) to ensure everything meets standards
·       Evaluate event’s success and give feedback at debriefs
·       Collaborate with Executive Assistant to plan project timelines
·       Be part of the core team assisting with operations at events
·       Oversee event happenings and act quickly to resolve problems

Requirements

·       Proven experience working in live music and/or an events company with a track record of organising successful events
·       A dedicated interest in UK Urban music and culture
·       Proficient in Microsoft Office Skills and creative content writing
·       Working knowledge of content scheduling tools (e.g. Hootsuite)
·       Outstanding communication, interpersonal and negotiation skills
·       Well-organised with multi-tasking skills
·       Able to handle stress and remain calm
·       High attention to detail
·       Ability in decision-making and problem-solving
·       Discretion and confidentiality
·       Photoshop skills desirable
·       Educated to degree level or equivalent desired
